Collect Tutoring Fees via WhatsApp
Private tutors and tutoring centres across South Africa lose hours every month chasing payments. Parents forget to EFT. Cash goes missing. Spreadsheets get messy. wabill Collect automates the entire process. Invoices and payment links go directly to parents on WhatsApp.

The problem with tutoring payments
Private tutors, tutoring centres, after-school academic support. The payment story is the same:
- You WhatsApp parents individually to remind them about fees
- Some parents pay cash, and you lose track of who paid what
- EFT payments trickle in with vague references. Matching them to students takes time
- You spend the first week of every month on admin instead of teaching
- Awkward conversations when a parent is behind on payments
- No proper receipts, so parents can't claim tutoring as a business expense
How wabill Collect works for tutors
- Create a group on the wabill dashboard (e.g., 'Maths Tutoring: Grade 10')
- Add your students: parent name and WhatsApp number
- Set the billing amount and billing day (e.g., R800 on the 1st)
- On billing day, each parent gets an invoice and payment link on WhatsApp
- Parents pay via card, EFT, Capitec Pay, SnapScan, or Apple Pay
- You see payments in real time. No guessing, no spreadsheets
Example: private tutor with 15 students
Thandi, Maths & Science tutor, Sandton
Thandi tutors 15 Grade 10–12 students privately. She charges R800 per month for weekly 1-hour sessions. Before wabill, she sent individual WhatsApp messages on the 1st, waited for EFTs, checked bank statements, and followed up with parents who forgot. This took 3–4 hours every month.
With wabill Collect, Thandi created a group called “Maths Tutoring 2026”, added all 15 parents, and set billing to the 1st of every month at R800. Now invoices go out automatically. Parents tap the link and pay. Thandi checks her dashboard once. Done.
Monthly revenue: 15 students x R800 = R12,000
Time saved: ~4 hours/month on payment admin
Who uses this
Private tutors

Centres with multiple classes, each billing on a schedule

Handling different fee structures
Tutors often charge different rates depending on the type of session. With wabill, you create separate groups for each rate:
Individual Tutoring
1-on-1 weekly sessions
Group Tutoring (3–5 students)
Small group sessions at a lower rate
Exam Prep Intensive
Daily sessions during exam season
Each group has its own billing amount and schedule. Parents only receive the invoice relevant to their child's programme.
Tax implications for tutors in South Africa
If you earn income from tutoring, SARS considers this taxable income. Here is what you need to know:
- All tutoring income must be declared. Full-time or part-time, SARS does not make a distinction
- If your annual turnover exceeds R1 million, you must register for VAT under the Value-Added Tax Act 89 of 1991
- Individual tutors earning above R30,000 per year from sources other than a salary may need to register for provisional tax under the Income Tax Act
- Keep records of all income and expenses. wabill provides a dashboard with full payment history
- Under the Consumer Protection Act 68 of 2008, you must provide receipts for services rendered when requested. Automated receipts from wabill handle this
Payment methods
Parents choose their preferred payment method when they tap the payment link:
- Card: Visa, Mastercard, Amex (debit or credit), 2.9% + R1 per transaction
- Instant EFT via Ozow: all major SA banks, 2% per transaction
- Capitec Pay: direct from Capitec app, 2%
- SnapScan: scan QR code to pay, 2.9% + R1
- Apple Pay: tap to pay on iPhone, 2.9% + R1
Processing fees are per transaction (VAT exclusive). wabill does not add any fees on top of these.

FAQ
Can I bill different amounts for different students?
Yes. Create separate groups for different fee tiers, for example, 'Individual Tutoring R800/month' and 'Group Tutoring R450/month'. Each group can have its own billing amount and schedule. This way, parents of individual-session students receive invoices for R800, while group-session parents receive R450.
Do parents get a receipt when they pay?
Yes. When a parent pays through the payment link, the payment is confirmed automatically and they receive a receipt. This matters for record-keeping. Under the Consumer Protection Act 68 of 2008, service providers must issue proof of payment when requested.
How does the free trial work?
You get 1 group, 5 members (students), and 1 billing cycle completely free, no card required. Set up your tutoring group, add up to 5 students, and run a full billing cycle. You will see exactly how invoices go out, how parents pay, and how tracking works before you spend anything.
Can I add new students mid-month?
Yes. You can add new members to your group at any time. They will be included in the next billing cycle. If a student joins mid-month and you need to bill them immediately, you can trigger a manual invoice from the dashboard.
What happens if a parent doesn't pay on time?
Your dashboard shows you exactly which parents have paid and which haven't. Unpaid invoices are clearly marked. You can follow up with specific parents instead of guessing who owes you money.
