Terms of Service
Effective date: 15 January 2026
1. About these terms
These terms cover your use of wabill, a WhatsApp-native billing, invoicing, and payroll service. wabill is a product of K2026012823 (Pty) Ltd, a South African registered company. By using wabill, you agree to these terms. If you don't agree, stop using the service.
2. What wabill does
wabill lets you create and send professional invoices, quotes, and payslips via WhatsApp and a web dashboard. wabill also includes:
- Recurring billing (Collect): set up billing groups and send invoices and payment links to your members via WhatsApp on your billing day, automatically.
- Enterprise payslip distribution: upload payroll data via CSV and deliver password-protected payslips to employees via WhatsApp.
The service is provided “as is”. We work hard to keep things running, but we can't guarantee the service will never go down or have bugs. We may update, change, or remove features at any time.
3. Your account
Your account is linked to your WhatsApp number or email address. You're responsible for:
- The accuracy of the information you provide: business details, VAT numbers, bank details, employee data, all of it.
- Everything that happens on your account, including anything done by collaborators you've added.
- Making sure the documents you create comply with the tax and employment laws that apply to you.
- Getting consent from your customers, employees, and billing group members before giving us their personal information.
4. Pricing and payment
Documents (invoices, quotes, payslips)
You get 10 free documents to start. After that, it's R49/month.
Recurring billing (Collect)
Collect comes with a free trial: 1 group, limited members, 1 billing cycle. After that, paid plans are based on member count. Pricing is shown on the dashboard. If none of our listed plans fit, contact us for enterprise pricing.
Enterprise payslip distribution
Distribution is priced per business based on volume. Contact support@wabill.co.za for a quote.
How payment works
- Payments go through Paystack (PCI DSS Level 1 compliant). We never store your card number or banking credentials.
- Cancel anytime. Your access runs until the end of your current billing period.
- A small processing fee is added at checkout. This goes to Paystack, not us.
- We may change pricing with reasonable notice. If you're already subscribed, we'll tell you before anything changes.
5. What you can't do
Don't use wabill to:
- Create fraudulent, misleading, or illegal documents.
- Upload false or fabricated payroll data.
- Impersonate another person or business.
- Send bulk messages to people who haven't agreed to receive them.
- Break any laws: tax, employment, financial, or otherwise.
- Interfere with or disrupt the service.
We can suspend or terminate accounts that break these rules.
6. Your data and POPIA
Your data is yours. Business details, invoices, payroll, all of it. We only use it to run the service, as described in our Privacy Policy.
Under POPIA, you (the business) are the Responsible Party for the personal information of your customers, employees, and members. wabill acts as an Operator. We process that data on your behalf and only for the purposes you gave it to us.
Want your data deleted? Email support@wabill.co.za. We handle deletion requests within 30 days.
7. Enterprise payslip distribution
If you use the enterprise distribution service, these additional terms apply:
- You're responsible for the accuracy and lawfulness of the payroll data you upload.
- We use AI (via OpenAI) to detect columns in your CSV. OpenAI's business API terms prohibit using your data for model training.
- Each payslip PDF is password-protected before delivery.
- Distribution data is kept for 12 months for employee queries and reissues, then automatically deleted. You can request earlier deletion.
8. Recurring billing (Collect)
If you use Collect, these additional terms apply:
- Make sure your members have agreed to receive billing messages via WhatsApp.
- Payments from your members go through Paystack and settle to the bank account you provide.
- You are responsible for entering correct banking details for payouts. wabill is not liable for failed or misdirected payouts caused by incorrectly captured bank account numbers or branch codes.
- wabill is not a party to the financial arrangement between you and your members. We handle billing and payment collection only.
9. What wabill is not
wabill is a document creation and distribution tool. We're not an accounting firm, tax advisor, payroll bureau, or financial institution. You're responsible for:
- The accuracy and completeness of your documents.
- Tax compliance (VAT registration, filing) and employment law in your country.
- Collecting payment from your clients and members.
10. Liability
To the maximum extent allowed by South African law, wabill and its directors, employees, and affiliates are not liable for indirect, incidental, or consequential damages from your use of the service, including loss of revenue, data, or business opportunities.
Our total liability for any claim is limited to what you've paid us in the 12 months before the claim.
11. Ending things
You can stop using wabill anytime. We can also suspend or end your access if you break these terms or if we shut down the service. We'll give you reasonable notice where we can.
12. Governing law
These terms are governed by South African law. Any disputes go to the South African courts.
13. Changes
We may update these terms. If something significant changes, we'll let you know via WhatsApp. The latest version is always at wabill.co.za/terms.
