Collect Creche and Daycare Fees via WhatsApp

Running a creche or daycare in South Africa means chasing payments every month. Parents pay late, lose receipts, and you spend hours on admin instead of caring for children. wabill Collect automates your fee collection. Invoices and payment links go straight to parents on WhatsApp, on the day you choose.

Start free, no card needed

1 group, 5 members, 1 billing cycle, completely free. After that, plans start from R99/month.

The problem with creche fee collection

Most creche owners in South Africa collect fees through cash, manual EFT, or WhatsApp messages asking parents to pay. This creates real problems that grow worse as your enrolment grows:

  • Parents pay late because there's no invoice or payment link, just a verbal reminder
  • Cash payments are hard to track and carry security risks, especially for ECD centres in residential areas
  • You spend hours every month sending individual WhatsApp messages and checking bank statements
  • Parents lose paper receipts and then dispute payments when statements are needed for subsidies
  • No financial records to present when SASSA or the Department of Social Development requests documentation

How it works for creche owners

wabill Collect is built for exactly this: billing the same group of people every month. Here is how a creche owner would set it up:

  • Create a group on the wabill dashboard (e.g., 'Sunshine Creche: Monthly Fees')
  • Add each parent as a member: their name and WhatsApp number
  • Set the monthly fee amount (you can set different amounts per child if needed)
  • Choose your billing day (e.g., the 25th of every month)
  • On billing day, wabill automatically sends each parent an invoice and payment link via WhatsApp
  • Parents pay via card, EFT, Capitec Pay, SnapScan, or Apple Pay
  • You see every payment in real time on your dashboard. No bank statement matching

Example: 30 children, R2,500 per month

A registered creche in Soweto has 30 children enrolled at R2,500 per month. The owner sets up a group on wabill with 30 members and a billing day of the 25th. On the 25th of every month, each parent receives a WhatsApp message with their invoice and a payment link. Parents tap the link, choose their payment method, and pay in under a minute. The creche owner opens her dashboard and sees exactly which parents have paid and which haven't. No chasing, no spreadsheet, no counting cash.

At R2,500 per child across 30 children, that's R75,000 in monthly fees collected automatically, with a complete digital record for every payment.

Payment proof for subsidies and registration

Under the Children's Act 38 of 2005, partial care facilities (including creches and daycare centres) must be registered with the provincial Department of Social Development. Registration and ongoing compliance require basic financial record-keeping. The National Health Act also sets requirements for Early Childhood Development (ECD) centres regarding operational standards.

wabill gives you a digital record of every payment: who paid, when they paid, how much, and via which method. Parents also receive automatic proof of payment, which they need when applying for subsidies through SASSA or the Department of Social Development. No more handwritten receipts that get lost or disputed.

Why WhatsApp works for creche billing

94% of South African internet users have WhatsApp (DataReportal, 2025). For parents of creche-age children, WhatsApp is the primary communication channel with the creche already. Sending invoices and payment links on WhatsApp means:

  • Parents see the invoice immediately. 9 out of 10 WhatsApp messages get opened, compared to 1 in 5 for email
  • No app to install. Parents pay from a link in WhatsApp
  • Works on WhatsApp bundles, accessible for parents on limited data plans
  • One tap from the message to checkout. Parents can pay in under a minute
  • Automatic payment confirmation, no 'did you pay?' follow-ups

Payment methods parents can use

When parents receive their payment link, they choose from any of these options at secure checkout:

  • Card: Visa, Mastercard, Amex (debit or credit), 2.9% + R1 per transaction
  • Instant EFT via Ozow: all major SA banks, 2% per transaction
  • Capitec Pay: direct from Capitec app, 2% per transaction
  • SnapScan: scan QR code to pay, 2.9% + R1 per transaction
  • Apple Pay: tap to pay on iPhone, 2.9% + R1 per transaction

All processing fees are per transaction and VAT exclusive. wabill does not charge any additional fees on top of your plan.

FAQ

Can parents pay by EFT?

Yes. When parents receive the payment link on WhatsApp, they can choose instant EFT via Ozow. All major South African banks are supported: Absa, FNB, Nedbank, Standard Bank, Capitec, Investec, Discovery, and TymeBank. The payment confirms automatically, so you never have to match bank statements to parents.

How do I track who has paid?

Your wabill dashboard shows the payment status of every member in your group in real time. You can see who has paid, who hasn't, and when each payment was made. No spreadsheets or manual checking. The dashboard updates the moment a parent completes their payment.

Can I bill different amounts for different children?

Yes. You can set individual billing amounts per member within a group. If you charge different rates for full-day vs half-day care, or if siblings get a discount, each child can have a unique amount. You can also create separate groups for different fee structures.

Is it free to start?

Yes. You get 1 group, 5 members, and 1 billing cycle completely free, no card required. This means you can set up your creche group, add up to 5 parents, and run a full billing cycle to see how it works before paying anything.
