Collect Club & Membership Fees via WhatsApp

Sports clubs, social clubs, professional associations, church groups, and residents' associations across South Africa all share the same problem. Collecting fees from members every month is a nightmare. Spreadsheets, bank statement checks, and awkward follow-ups. wabill Collect automates the entire process through WhatsApp.

The treasurer's nightmare

If you are a club treasurer, you know this routine too well. The 1st of the month arrives, and the work begins:

  • Send WhatsApp reminders to 30, 50, or 100 members individually
  • Wait for EFTs to come in. Check bank statements daily
  • Match payments to members using vague references like 'John cricket'
  • Chase members who haven't paid. The same ones every month
  • Update the spreadsheet and prepare a report for the committee
  • Answer questions at the AGM about who paid what and when

This takes hours. For a volunteer treasurer, it is unpaid work that nobody wants to do. wabill Collect replaces the entire process.

How wabill Collect works for clubs

  • Create a group on the wabill dashboard (e.g., 'Northcliff Cricket Club')
  • Add your members: name and WhatsApp number
  • Set the billing amount and billing day (e.g., R350 on the 15th)
  • On billing day, every member gets an invoice and payment link on WhatsApp
  • Members pay via card, EFT, Capitec Pay, SnapScan, or Apple Pay
  • The dashboard shows who paid and who hasn't, in real time

Example: cricket club with 60 members

Northcliff Cricket Club, Johannesburg

The club has 60 active members paying R350 per month. The treasurer previously spent an entire weekend each month reconciling payments against bank statements. Three members always paid late, and two consistently used the wrong reference, making it impossible to match payments.

With wabill Collect, the club created a group with all 60 members. Billing is set to the 15th of every month. On that day, each member receives an invoice and payment link on WhatsApp. The treasurer opens the dashboard and sees exactly who has paid. No bank statement matching. No chasing.

Monthly collection: 60 members x R350 = R21,000

Time saved: ~8 hours/month on reconciliation and follow-ups

Transparent reporting for AGMs

One of the biggest sources of conflict in clubs is money. Members want to know where funds go. Committee members need to show that collections are handled properly. The wabill dashboard provides:

  • Complete payment history: every transaction with date, amount, and member name
  • Real-time status. See who has paid and who hasn't at any moment
  • No manual reconciliation. Payments are matched automatically
  • Audit trail. Every invoice sent and every payment received is recorded

For clubs registered as non-profit organisations under the Non-Profit Organisations Act 71 of 1997, maintaining proper financial records is a legal requirement. The Act requires NPOs to keep accounting records that fairly reflect their financial affairs (Section 17). wabill provides a clear, auditable record of all membership fee collections.

Legal considerations for clubs

South African clubs and voluntary associations should be aware of these legal frameworks:

  • Non-Profit Organisations Act 71 of 1997: registered NPOs must maintain proper financial records and file annual reports with the Department of Social Development
  • Companies Act 71 of 2008: voluntary associations with more than 20 members may need to register as a non-profit company (NPC) for liability protection
  • Income Tax Act: clubs may qualify for tax-exempt status under Section 10(1)(d)(iv) if they meet certain requirements, but must still file returns
  • Consumer Protection Act 68 of 2008: members are entitled to receipts for payments made, and clear communication about what their fees cover

FAQ

Can we have different membership tiers?

Yes. Create a separate group for each tier. For example, 'Standard Members R350/month' and 'Premium Members R600/month'. Each group has its own billing amount and schedule. Members only receive the invoice for their tier.

How do treasurers track payments?

The wabill dashboard shows real-time payment status for every member. Treasurers can see who has paid, who hasn't, and the total collected, all in one place. This makes it straightforward to prepare reports for AGMs and committee meetings.

Do members get a receipt?

Yes. When a member pays through the payment link, they receive automatic confirmation and a receipt. This is important for clubs registered as NPOs under the Non-Profit Organisations Act 71 of 1997. Transparent financial records are a legal requirement.

Can we add once-off charges like tournament fees?

For once-off charges, create a separate group with a descriptive name (e.g., 'Tournament Entry Fee, March 2026'). Add the relevant members, set the amount, and run one billing cycle. This keeps it separate from your regular membership billing.

What if a member wants to cancel?

You can remove a member from a group at any time on the dashboard. They will not receive further invoices. This gives you full control over your membership list.
